POPIA notice

Last updated: September 2026

3DroneMapping (Pty) Ltd (registration number 2014/256136/07) is a "responsible party" under the Protection of Personal Information Act, 4 of 2013 (POPIA). This notice explains what personal information we collect, why, and your rights. It should be read with our privacy policy and PAIA manual.

What we collect

  • Enquiries and clients: name, organisation, email, phone number, address, project details and correspondence.
  • Suppliers and partners: contact and contract details, banking details for payment.
  • Employees and applicants: identity, contact, qualification, licence, payroll and related employment information.
  • Website visitors: information you submit through forms, and limited technical data (such as IP address and browser type) needed to run the site securely, and Google Ads cookies that show us which ads led to an enquiry (see our privacy policy).

Why we process it

To respond to enquiries and prepare quotations; to deliver survey services and deliverables; to manage contracts, invoicing and payment; to comply with aviation, tax and other legal obligations; to manage employment; and, with your consent or where permitted, to tell you about our services.

Legal basis

We process personal information where it is necessary to perform a contract with you, to comply with a legal obligation, to pursue our legitimate interests (running and protecting our business) in a way that does not override your rights, or with your consent.

Who we share it with

Service providers acting on our instructions (cloud hosting, email, accounting, payroll, form handling), professional advisers, regulators and authorities where required by law, and project partners or client representatives where necessary to deliver a project. We do not sell personal information.

Transfers outside South Africa

Some providers store data outside South Africa. Where this happens we rely on the provider being subject to laws or binding agreements that provide substantially similar protection to POPIA.

Retention

We keep personal information for as long as needed for the purposes above and to meet legal requirements — typically the duration of the relationship plus the retention period required by tax and company law (generally five to seven years). Survey data may be retained longer for archival and quality purposes.

Security

We use access controls, encryption in transit and at rest, backups, and staff confidentiality obligations to protect personal information. If a breach affects you, we will notify you and the Information Regulator as POPIA requires.

Your rights

You may ask us to confirm what personal information we hold about you, to access it, to correct or delete it, or to object to processing. You may withdraw consent at any time where consent is the basis for processing. You may also complain to the Information Regulator: www.inforegulator.org.za, complaints.IR@justice.gov.za.
